IIJA Document Exchange Service

IIJA's Document Exchange Service (DOX)is an online storage service for secure intra- and inter-corporate file exchanging and distribution. IIJA provides a dedicated file server for its customers, as well as the capability to safely and securely conduct file transactions for large files, files containing sensitive information, etc

File Operations
  Users can access their files best suited for their environment by "WebUI" through a Web browser, or "WebDAV", which is accessible through a Web folder.
One-Time URL
  The One-Time URL function allows temporary access for guest users (without a DOX account) to a certain file through a randomly created address. Access to the file is automatically terminated after a predetermined time, or by a specific number of downloads. A One-Time URL can also be configured in conjunction with file uploads, which is a convenient function for those that would like to distribute files to non-group members/guest users on a temporary basis.
One-Time Upload
  The One-Time Upload function allows a secure interactive file exchange between a DOX and guest user. A DOX user can send a One-Time URL by using the DOX mail feature to a guest user, and the guest user can upload a file using the same URL.
Access Control
 

Establish access privileges for specific folders based on a user or group basis. Users without access privileges will not be able to view the folder; in fact, they will not be aware of the folder's existence.


Web-based email feature
  When sending files with the web-based email interface, the attached files are automatically uploaded to the IIJA Document Exchange Service server, and the URL to these files is inserted in the message (Max. Attachment Size: 2GB).

Files can be sent using a One-Time URL for this feature as well, where access is limited to a number of times or days. Once the file access has expired, the file will be deleted off the DOX server automatically.

Clients can choose from the following three options as authentication features:

  • Authentication by DOX account and password
  • Authentication through a one-time password sent by email
  • No authentication

* This feature does not support a mailbox since it is designed only for sending email.

Access Log References
  Reference records are kept to keep track of file operations made on DOX, such as the date a file was uploaded, downloaded, deleted, etc.
File Search
  Search for text contained in a file name or by the latest modification date. This is a convenient function when searching the newest 10 files of a certain file extension, etc.
Virus Check
  Files are automatically checked for viruses at the time they are uploaded. Those that contain viruses are flagged as errors and will not be uploaded onto DOX. When files are denied from being uploaded, a report will be generated where it describes the type of viruses that they contain. Files that are already uploaded can also be checked for viruses.
Upload Notification
  A notification is sent to a designated email address when a file is uploaded.
Thumbnail Display Mode
  Thumbnail display mode allows users to search through large-sized image files easily.
Revision Management
  Manage a file's revision history, and be able to track back to data based on a specific time and date.
Account/ User Group Management
 

Manage accounts via the service host. The administration screen allows batch account creation, user group configuration, and batch configuration of various privileges/access rights to individual members through user groups. This will greatly reduce time and effort for administrators when managing accounts.

* Up to five user group can be created under the basic contract.

The customer must provide the following in order to use this service.

Proprietary Domain Name
The customer must be able to provide a proprietary domain name as follows: ex. sub.example.com , where
"sub" represents the subdomain used with this service. "sub" can be any name.

DNS Configuration
- When using a customer DNS server
Provide the NS record for the host name that is to be used in conjunction with this service.
- When using the IIJ DNS outsourcing service
IIJ provides the necessary configurations.

SSL Server Certificate
The service has a self-signed certificate that is pre-configured, allowing for SSL encryption. However, we recommend the customer to obtain an official server certification from a public certificate authority after the service has started.

* It is not necessary when a shared domain name is selected.
In that case, name.iij.us ("name"can be freely specified) will be used as a host name.
